Electronic orders, delivery notes, and invoices: The Libomi Success Story

The starting point

Libomi is a company dedicated to the distribution, commercialization, and processing of frozen and refrigerated foods, focusing on high-quality products at competitive prices. With a track record of more than 30 years, in 2013 they decided to enter the Dominican Republic market, partnering with several hotel chains they were already working with in other Latin American countries.

Upon entering the country, the entire supply process (from ordering, through the delivery note, invoice, reconciliation of all documents, and subsequent payment collection) was done manually and with paper documents. A delivery note could take up to three days to reach the administrative team for reconciliation and subsequent accounting.

This process often led to discrepancies and errors, and the manual work for Libomi’s administrative team was very tedious. And it didn’t end there, at the end of the period, when issuing invoices, there were still discrepancies and differences to resolve with buyers.

When RIU Hotels & Resorts, one of their most important clients, began a digitalization process and invited all their suppliers to join, Libomi decided to participate and automate its relationship with the hotel chain, partnering with Voxel, an Amadeus company.

A delivery note could take up to 3 days to reach the administrative team.

The solution

Alongside RIU’s digitalization process, Libomi digitized the reception of orders and the issuance of invoices with Bavel Procurement, Voxel’s solution for the supply chain. Thanks to great collaboration between the teams at Libomi, Voxel, and RIU Hotels & Resorts, the food supplier can now communicate in real time with the hotel chain, from the catalog to order reception and invoice issuance.

RIU Hotels & Resorts issues an electronic order to Libomi, who receives it and automatically knows whether they can fulfill it, without needing to physically check the warehouse. At the time of delivery, an electronic self-delivery note is generated, indicating the goods actually delivered and any issues with the original order. With this information, Libomi can issue an error-free electronic invoice at the end of the period. Finally, the reconciliation of order, delivery note, and invoice is done automatically.

For José Felipe Fidalgo, Manager at Libomi, this digitized workflow brings multiple benefits: elimination of paperwork and physical documents that can be lost or damaged; faster decision-making thanks to real-time information and data; and greater control and management of inventories, which leads to a better relationship with clients since you can serve them at any time.

Libomi also enjoys fiscal benefits with respect to the General Directorate of Internal Taxes (DGII). The self-delivery note transaction provides significant operational information and value, making it easier to send accurate, error-free documents to the public administration at the end of the fiscal year, without the need to issue credit notes afterward.

“Currently, there is a great opportunity for digitalization in the Dominican Republic, and partners like Voxel can contribute a lot to the country,” reflected Fidalgo.

Finally, Libomi is working together with Voxel to replicate this model with other hotel chains they work with in the country.

The starting point

RIU hotels in the Dominican Republic handled the sending of orders automatically and the reception of invoices and all associated transactions (bill of lading, credit receipts, debit receipts, claim receipts, etc.) automatically. Each month, the administration would receive an invoice with all the delivery notes of nearly all its suppliers.

In 2019, the team decided to make a change and began using an invoice for each delivery note, in order to adapt to the standard practice in the industry and the current regulation of the country. With this change, RIU predicted the transactions at their hotels in the Dominican Republic would multiply by 3 and therefore, the hotel chain decided it was the right time to digitize the entire process, as it had already done at their hotels in Spain.

This investment in digitization coincided with the mandatory stamping of electronic invoices by the government of the Dominican Republic.

The solution

RIU opted for digitizing all transactions from start to finish: order, receipt of goods, claim receipt, credit receipt, debit receipt, receipt of payment and finally, reconciling of all electronic documents. RIU has accomplished all of this using Bavel Billing. “Voxel is our main corporate electronic invoice supplier but for the Dominican Republic project we highly value their more than 9 years of experience digitizing specific processes in the country”, said Javier De Los Santos, Administrative Development Corporate Director at RIU.

To make this possible, on the one hand, Bavel has integrated its system with RIU’s ERP and on the other hand, with all the hotel chain’s suppliers, adapting to the reality and operation of each of these companies.

The digitizing of all these transactions is being carried out progressively and at all Dominican Republic hotels.

RIU is the first hotel chain in the country to invest in digitizing their administrative area from start to finish, aligning itself with the country’s digital agenda driven by the DGII. On their part, the suppliers that have been added to the project have taken steps towards automating their internal processes and have planted the seed for creating a supplier ecosystem as well as encourage the digitization of other hotel chains in the country.

The outcome

RIU has already began the digitization project at all their hotels in the Dominican Republic. Even though transactions have increased, the hotel chain has been able to keep its management team down to two people. Also, claim receipts are automatically generated, which facilitates the managing of discrepancies. “The manual work we carry out every day has been drastically reduced and thanks to the digitization process, we can now dedicate our time to carrying out tasks with a greater added value”, explains Fernando Ferrera, Head of RIU’s Dominican Administration.

Currently, RIU electronically receives transactions from 7 suppliers. In 2022, RIU expects to add 6 additional suppliers, which would amount to 60% of transactions (order, credit/debit receipts and invoice) and more than 50% of the purchases.

RIU will also become an electronic taxpayer to the DGII. The government of the Dominican Republic will implement the mandatory electronic invoice for large taxpayers beginning in 2023.

“Beyond complying with the laws of the country, the aim of this project is to digitize. For us, digitizing means eliminating all manual tasks and achieving a 100% automatic process”, says De Los Santos.

The starting point

Dominican Watchman is the leading security company in the Dominican Republic. After more than 47 years in the market, the company serves more than 570 clients.

Administrative processes in the company are entirely paper-based. The process for issuing an invoice is lengthy and manual: in order to reach the end customer, the invoice has to be prepared, audited, reviewed and sent. In addition, due to the nature of its business, Dominican Watchman invoices can be up to 100 pages long, increasing the complexity of the process. Sometimes, invoice delivery is delayed by up to 15 days and invoices arrive at the recipient overdue. When there are discrepancies, credit notes must also be handled by telephone or email.

Because of this slow and tedious process, payments can be delayed for up to 90 days. In addition, the company must print and store three copies of each invoice, which is a large investment in paper and storage space.

After issuing and managing all these invoices, Dominican Watchman has to prepare the monthly report for the DGII. The administrative team works frantically to balance the accounts between the 15th and 20th of the month. And it is a task that is repeated on a monthly basis.

Faced with this situation, and taking advantage of the publication of regulation 01/2020 that regulates the use of electronic invoices in the Dominican Republic, Dominican Watchman decided to digitalise its administrative process, start working with electronic invoices and become an electronic taxpayer of the DGII.

Because of a slow and tedious process, payments can be delayed up to 90 days.

Both Voxel Caribe and the DGII have been strategic partners in this project.

The solution

Dominican Watchman decided to rely on Voxel Caribe and its Bavel platform to carry out this digitalisation project, i.e. the issuing of electronic invoices and the connection with the DGII. Bavel connects with Dominican Watchman’s ERP and also with the DGII.

To do this, Bavel connects with Dominican Watchman’s ERP and also with the DGII system. Bavel collects the invoices issued by Dominican Watchman, encrypts them and translates them to deliver them in the format established by the DGII. Once the DGII approves the invoices, Bavel delivers them to Dominican Watchman’s client. In this way, Dominican Watchman’s clients obtain the invoices, already approved by the DGII, in just a few minutes. By having real-time communication with the DGII, Dominican Watchman does not have to prepare the 607 report.

“Both Voxel Caribe and the DGII have been strategic partners in this project” explains Caury De Los Santos, Director of Administration and Finance at Dominican Watchman.

Currently, Dominican Watchman connects electronically with 100% of its clients and with the DGII through Bavel.

The results

The digitisation of Dominican Watchman’s invoicing process has helped to substantially improve its administrative processes, increase team efficiency and reduce errors.

Invoices now reach their recipient within minutes and any discrepancies can be resolved instantly. This immediacy of invoice delivery has had a positive impact on the company’s cash flow, as payments are now timely. Collection time has been reduced by more than 80%, from 90 days to 10 days.

Thanks to the digitisation of processes, Dominican Watchman has eliminated paper from all its processes and also the more than 700m2 used for storing invoices. The company now has a digital archive with all its invoices in Bavel.

Dominican Watchman has become one of the first electronic taxpayers of the DGII in the Dominican Republic. And it has done so hand in hand with Voxel Caribe, the DGII’s first certified supplier for issuing tax receipts.

“I recommend all companies to become electronic taxpayers now that it is voluntary and there is time to implement it and get the financial resources.
There are too many advantages for businesses and the DGII is being an agile partner in this project,” explains Caury De Los Santos.

Casa Chepe is a sugar distributor whose main activity is in rural areas, but that also works with the country’s major wholesalers and supermarkets. When one of the supermarkets raised digitizing their order and invoice documents with them, Casa Chepe had to analyses their process.

The family business runs the entire procurement process manually with paper documents. Each week, one of their workers takes care of collecting all the purchase orders. Invoices are delivered at the same time as goods. If there is any discrepancy between the goods delivered and what was ordered, Casa Chepe has to wait for the claim to be made and subsequently issue a credit note. The process can take more than 10 days, with payments delayed by up to 60 days.

To face this situation, Casa Chepe found Bavel’s technological tool adapted to their needs.

The entire procurement process is run manually with paper documents.

Without needing any technological integration, the company can receive electronic orders and issue electronic invoices and credit notes.

The solution

The distributor cites the need to digitize the procurement process with just one major customer. Bavel’s webbilling plan is the solution that best suits Casa Chepe’s needs, because the company can receive electronic orders and issue electronic invoices and credit notes without needing any technological integration.

In this way, Casa Chepe accesses the online portal to download the orders their customer sends electronically, and the distributor uploads their invoices so they are entered directly into their customer’s ERP

The outcome

In 2019, Casa Chepe received over 3,800 electronic purchase orders. Digitizing the process has allowed the company to gain in planning and organization, in both administration and production. “Thanks to the Bavel platform, we know what day the purchase orders will arrive and we don’t have to keep repeatedly calling the customer,” explains Yudelka de León, Casa Chepe’s administration manager.

The admin team also saves time by not having to travel to chase up specific claims, streamlining work and spending their time on higher-value tasks. Thanks to digitization, discrepancies are cleared in no more than 5 days, and as a result the average collection cycle has been halved.

“The Bavel webbilling portal is really easy to use and has greatly eased the processes with one of our most important customers”, concludes Ms de León.

With more than 4,000 references, the company usually receives orders with many lines that they have to capture in their system, digitize, reconcile, verify and send to the warehouse manually. This process can take up to 3 days. The manual processing of data causes differences between what the client asks for and what he receives. These incidents must be resolved later with the exchange of invoices and credit notes.

Álvarez & Sánchez decides to digitize the reception and capture of orders through Bavel. To make it possible, Bavel connects with the company’s ERP. Once this integration is complete, Álvarez & Sánchez is ready to receive electronic orders from all those clients with whom it wants to connect.

Once issued by the customer, electronic orders are directly integrated into the company’s management system.

Álvarez & Sánchez is also capable of issuing the electronic invoice without errors at the time the goods are delivered. “Thanks to the integration with Bavel, we have control of the codes handled by our clients and ours, there is no margin for error,” explains Julio Adames, IT Director at Álvarez & Sánchez.

The outcome

Thanks to process automation, Álvarez & Sánchez is able to automatically receive more than 40,000 purchase orders and issue more than 28,000 invoices per year.

The purchase orders reception and management process is now completed in a few hours. In addition to saving time and reducing errors, the company highlights the security and robustness of the system as a benefit.

The use of Bavel has also contributed to the reduction of incidents, since now if there is any difference between the order and the delivery, it is dealt with before the delivery becomes effective. “This digitization process has helped us to strengthen our pricing policy and to standardize our processes and data” explains Adames.

Also the sales representatives, previously in charge of order tracking, have eliminated this workload from their day-to-day work and even the IT department registers fewer incidents. After this first digitization project, Álvarez & Sáncehz will create, together with Bavel, an eCommerce portal so that all its B2B clients have an additional channel to communicate with them.

After the technological implementation, the reception of purchase orders is automatic and is directly integrated into the company’s ERP. The issuance of invoices is also automatic and it is done at the same time as the delivery of goods to detect differences in real-time.

Two years later, Casa Rodríguez is able to receive more than 4,500 purchase orders automatically. Thanks to the Bavel technology and the elimination of errors and discrepancies in the administrative department, many of its employers have been able to redirect their daily work to tasks with greater value and new distribution channels. At the operational level, the dispatch of goods is also more agile. In addition, the relationship with customers has been formalized and improved thanks to the use of technology.

Bavel has become one of Casa Rodríguez’s technological partners. The company is considering digitizing other processes, such as payments and the e-commerce portal with Bavel. “One of the objectives of the company is to automate all the processes that we can to eliminate errors,” explains Luis Carmona, IT Manager at Casa Rodríguez.
